The Senior Admin Executive will be based primarily in the Senior CareCentre (SCC). He / She is responsible to perform registration and attendance, transport arrangements, finance and payment collection, preparation of reports for the SCC, and centre maintenance.

The Senior Admin Executive is expected to be familiar with and align with the objectives, vision, and mission of REACH Community Services Ltd.and REACH Senior Service when performing their tasks and duties.

Key Responsibilities:   

  • Manage daily administrative functions of Senior Care Centre.
  • Guide and supportcare team in administrative matters.
  • Assist Centre Manager/ Supervisor / Rehab team to schedule for appointments with caregivers for assessments.
  • Conduct financial counselling with clients and families including explanation of service contract terms, Means-Test results, and completing other relevant administrative/financial forms.      
  • Centre’s point-of-contact to arrange, coordinate and troubleshoot transportation matters between clients and transport services.
  • Maintain the filing system/ records to ensure timely and ease of retrieval of files and records for operational, regulatory and administrative purposes.     
  • Maintain the register and matching of transport services for clients.     
  • Fulfill all MOH KPIs and subvention reporting/claiming function for both Senja Valley and Teck Whye Vista centres on the MOH IRMS and ILTC portals.   
  • Maintain supporting documentations for subvention claims such as attendance in CBCIT(ELDC) system, client satisfaction surveys, MBI and FAST submissions, etc.  
  • Generate statistics and other data required for internal and external stakeholders.    Submit claims and invoices, including raising Request For Quotation (RFQ) and exchequer claims  
  • Handle petty cash floats and accounts.
  • Maintain proper records of all financial reports and documentation as required for audits. Ensure Means-Test results of clients are renewed before expiry and inform client/family of change in Means-Test status and fees. 
  • Participate in budgeting for SCC’s annual expenditure.   Assist in application, tracking and claims for other funds e.g. Senior Mobility Fund, productivity grant, etc.
  • Maintain and ensure centre’s vendor contracts are valid and regular maintenance scheduled e.g. pest control, aircon servicing, water filter change, spring cleaning, fire safety systems and equipments, transport outsource contracts, rehab and gym tonic equipments, AEDs, etc.
  • To help source, arrange and facilitate any necessary electrical/water/handyman works and repairs/replacements for damaged equipment, furniture, and fixtures.  

Requirements

  • Possess at least a diploma or general degree
  • Having a diploma or higher qualification in Business Administration, Data Analysis or Actuarial Science is greatly preferred but not necessary.
  • At least 2 years of relevant experience.
  • Conversant in English and any 2nd language with ability to converse in local dialect would be an advantage for elderly clients
  • Good communication and interpersonal skills
  • Outgoing, and self-motivated
  • Has a strong passion for community work with seniors

We are looking for a passionate Programme Executive to plan and coordinate the day-to-day programme. guide volunteers to carry out the programme activities, work with other organisations to execute programmes, manage communications and feedback from stakeholders, as well as conduct outreach activities to other organisations and the community.

Key Responsibilities:

Requirements

· Possess Higher Diploma or Diploma in Gerontology, ITE NITEC in Community Care and Social Services, or Diploma in Social Enterprise/Entrepreneurship

· Ability to train volunteers to facilitate creative arts / baking / cooking / singing / music instruments / florist / live streaming in senior programmes.

· Ability to host or deliver programmes in front of a crowd of 10 – 80 seniors is a must.

· Familiarity with live-stream or data-entry and administration is preferred.

· Experience in social services not necessary

· Fully conversant and able to translate in Malay / Mandarin and English, ability to converse in Hokkien / Teochew will be a bonus, due to clients being seniors.

REACH Family Service is a community based social service agency commissioned and funded by the Ministry of Social and Family Development.
